How K Stack Pty Ltd collects, uses, shares and protects personal information, and how you can ask us about it.

Who we are and what this covers

K Stack Pty Ltd (ABN 34 628 974 309) is a design and technology partner based in Melbourne, Australia. In this policy, “K Stack”, “we” and “us” mean K Stack Pty Ltd.

This policy covers personal information we collect through kstack.com.au, by email and phone, through our booking and careers routes, and when we work with prospective and current clients. We handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

When we build or support a system for a client, the personal information in that system belongs to the client. We handle it under our agreement with them and their instructions, and this policy does not replace those terms.

What we collect

We collect only what we need to respond to you and run our business. Depending on how you deal with us, that can include:

  • Your name, email address, phone number, organisation and role, and anything you tell us in a message or on a call.

  • Booking details, when you book a call with us: your name, email address and the time you choose.

  • Job application material, when you apply for a role: your CV, links to your work and what you tell us about yourself.

  • Account details, if you are a client or staff member who signs in at app.kstack.com.au.

  • Information about how you use our website: the pages you view, the links you select, your device and browser type, your approximate location and how you arrived. This is collected through cookies and similar technologies.

We do not ask for sensitive information through the website, such as health or financial details, and we ask that you do not send it to us.

How we collect it

Mostly directly from you: when you email or call us, book a time, apply for a role or sign in. We also collect website usage information automatically, as described under cookies and analytics. Sometimes we receive your details from a colleague or another organisation that has introduced us. We tell you when that happens, where we can.

Why we use it

We use personal information to:

  • reply to your enquiry and arrange, hold and follow up conversations;

  • assess and respond to job applications;

  • provide, support and bill for our services, and manage our relationship with you;

  • keep our website secure, understand how it is used and improve it;

  • meet our legal, tax and accounting obligations.

We use it for these purposes, and for closely related purposes you would reasonably expect. We do not sell personal information. We send marketing only where you have asked for it or have an existing relationship with us, and every message tells you how to stop.

Cookies and analytics

The website uses a small number of cookies and similar technologies:

  • Analytics. On our live site we use Google Tag Manager to load Google Analytics 4. They record events such as page views, clicks on our buttons and video plays, so we can see what is useful and what is not. Google processes this data for us.

  • A test cookie. When we compare versions of the homepage opening, a cookie named ks_hero remembers which one you were shown, for up to 30 days, so the page does not change between visits.

  • Booking. When you open our booking window, the scheduling provider (Cal.com) loads and may set its own cookies, under its own policy.

Most browsers let you block or delete cookies, and Google offers a browser add-on that opts you out of Google Analytics. The site works if you do, though some features may not.

Who we share it with

We share personal information only with people who need it to help us run the business, or where the law requires it. That includes:

  • Service providers who host and deliver the website (Vercel and our media host), provide analytics (Google), scheduling (Cal.com), email and document tools, accounting and payment services, and professional advisers such as our accountants and lawyers.

  • The people who work with us on an engagement, when they need it to do their work and are bound to keep it confidential.

  • Authorities and courts, where the law requires or allows it.

If K Stack were ever sold or restructured, personal information could pass to the new owner, who would have to handle it under this policy.

Information sent overseas

Some of our providers store or process information outside Australia, including in the United States and the European Union. Before we use a provider, we take reasonable steps to make sure it handles personal information consistently with the Australian Privacy Principles, and we choose providers with recognised security and privacy practices.

How we protect it

We keep personal information in systems that need a sign-in, limit access to people who need it, and use encrypted connections for the website. No system is perfectly secure, so we also plan for things going wrong. If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner, as the Notifiable Data Breaches scheme requires.

How long we keep it

We keep personal information only as long as we need it for the purposes above, or as the law requires. Enquiries we do not pursue and unsuccessful job applications are deleted within a reasonable time, normally within twelve months. Client and financial records are kept for the periods tax and corporate law require, then destroyed or de-identified.

Your choices and rights

You can ask to see the personal information we hold about you, and ask us to correct it if it is wrong, out of date or incomplete. You can also ask us to delete it, and to stop sending you marketing. We will respond within a reasonable time, normally within 30 days, and will tell you if we cannot give you what you ask for, and why.

To make a request, email contact@kstack.com.au. We may ask you to confirm who you are first, so that we do not give your information to someone else.

Questions and complaints

If you have a question or think we have mishandled your information, email contact@kstack.com.au or call 1300 578 225. We will acknowledge your message promptly and tell you what we find.

If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.

Changes to this policy

We update this policy when our practices or the law change. The date at the top shows when it last changed. This version was last updated in October 2026.
